Overview

SGB-SMIT POWER MATLA is looking for a suitably qualified SCM Administrator Officer. The role is responsible for assisting buyers and managers to effectively carry out their daily activities, customers, contractors, employees or government agencies. Prepare bidding documents, evaluation of bids, set up meetings, communicate with contractors, maintenance of supplier database and registration of new suppliers in SSPM’s database.

Responsibilities

  • Assist in supplier communication, including expediting purchase orders.
  • Ensure that contracts are in place for repetitive purchases.
  • Follow up with user departments on outstanding information.
  • Compile monthly reports.
  • Keep an RFQ register.
  • Efficiency in SCM Administration.
  • Preparing presentations, reports, tracking of documents.
  • Supporting the function of the SCM.
  • Maintaining documents relating to SCM process in accordance with company standards.
  • Resolving issues where orders do not arrive and do follow ups with suppliers.
  • Receive, manage procurement requisitions and act on all outstanding issues.
  • Provide input into the procurement planning exercise.
  • Produce tender documents under the guidance of the Buyer/Team Leader/Manager.
  • Carry out bid opening and analysis as and when requested to do so. This will involve preparation of abstracts of offers, bid analysis and compiling data contained in the bids for evaluation purposes.
  • Prepare or assist with submissions to the Manager.
  • Prepare reports, minutes and assist in the compilation of data for the Manager.
  • Perform other duties as assigned.
  • Effective interaction between the supplier, end users and team members.
  • High client orientation – maintain effective working relationships with clients and remain calm and polite under pressure.
  • Contractor orientation – ability to work effectively with numerous contractors in various commodities.
  • Planning and organizing – demonstrated ability to execute work assignments and ensure timely delivery of results.
  • Ensure good customer service to the production unit and behave accordingly.
  • Ensure that materials and services comply with the production specifications.
  • Ensure efficient commercial control and adherence to policies and procedures, as well as the Health and Safety Act.
  • Administer all price increases and conduct comparisons through economical indices.

Qualifications and Experience

  • Grade 12/ NQF Level 4.
  • A qualification in Administration Related field.
  • Studying towards Certificate in Purchasing/Materials Management or Procurement an added advantage.

Job Specific Experience

  • Computer literate.
  • 1-2 years relevant experience is required.
